Training-workshop on digitization preservation and access for librarians

The Asosasyon ng Aklatan at Sinupan ng Diliman, Inc. (AASDI) sponsored a Training-Workshop on Digitization Preservation and Access held at the Gonzales Hall, University of the Philippines, Diliman, Quezon City on May 29-31, 2017.�

The highlights of the training are the following:
On the 1st day of the training- Ms. Eimee Rhea C, Lagrama, Head of the UP Archives discussed the selection of archival materials and the issues on copyright.
She defined digitization as conversion of analog information (text, images, sound, moving images) via an appropriate device (camera, scanner, digital recorder, video camera) so that the captured information can be processed, stored, accessed and/or transmitted electronically.
She also emphasized the criteria on deciding why we digitize the materials; here are the questions we should answer first before digitization:
Does it have enough value?
Is there a demand?
Is it worth the cost and effort?
Is it rare or unique?
Does it add information to the subject?
Does it fill a dearth in a poorly documented topic?
Is there a need to preserve it and make it accessible to a bigger audience?
Is it necessary for the functioning of your institution?
Does it meet the program�s goals?
Does the institution have the means to sustain this project?
Does the institution have the technical means to mount the project?
Does it have the means to provide wide access?
Does it have a long-term preservation policy?
Can it withstand the digitization process?
Will its physical condition limit what can and cannot be captured?
Every after the lecture of Ms. Lagrama, there were exercises to be performed by the participants to gauge the learning gained; it was submitted through online.
The next speaker was Prof. Benedict S. Olgado, Professor at UP School of Library and Information Studies, he discussed how to digitized and preserve the audio-visual materials.
He presented the pointers in digitizing the audio-visual resources:

Also, every after the lecture an exercises were done by the participants to ensure that learning was accomplished.
On the 2nd day, it was Prof. Chito N. Angeles; the University Librarian of UP Diliman who gave lecture and facilitated the workshop, his topic was Digitization and Digital Preservation.
He focused on the digitization processes like using the various types of scanning machines /digital cameras to convert the printed materials into digitized format.� He also emphasized the digital repository/archive in order to preserve and secure the digital resources. His definition of digital repository is �where digital assets are stored and can be searched and retrieved for later use� and �A repository supports mechanisms to import, export, identify, store and retrieve digital assets�.
The participants were able to have hands on experience of scanning of the printed materials and performing the cleaning and repairing the scanned documents using the software.
Likewise, the participants were able to see the digitization room of the UP Diliman and its facilities.
Also, after the lecture exercises were done by the participants to ensure that learning was accomplished.
On the third day, Mr. Val C. Crisostomo, Head of the Information Technology Division gave a lecture on setting-up your digital repository using Dspace configuration and customization.� He gave us the experience on how Dspace works in uploading digitized materials to access the clients.
Also, after the lecture exercises were done by the participants to ensure that learning was accomplished.
The participants received the certificates of appearance and participation.� This training workshop has 21 CPD points.
